Knowledge Desk one answer, with its source
Staff get one answer to a policy question, drawn only from approved, versioned documents, with the section cited, and a refusal when the source is missing or retired.
The problem it answers
Staff ask the same policy questions and get different answers, and iSystematic's Knowledge Desk gives them one answer, from one approved source, with the section cited.
What it does
It answers only from approved, versioned documents, cites the section, and refuses when the source is missing, expired or retired.
A question it cannot answer is logged, so the owner of each document can see what staff asked and the library lacked.
Questions that touch restricted documents go only to the model class permitted for them, and an instruction found inside a document is treated as content, never as a command.
Municipalities use the same desk for residents' questions, answered from approved municipal documents.
Built from
It is built from one catalogue workflow, run at organisational scale, and two catalogue patterns.
| Id | Name | What it brings |
|---|---|---|
| W03 | Approved FAQ Assistant, at scale | Answers only from the approved source, cites the section, and does not improvise when the source is missing |
| P01 | Retrieve, Ground, Draft, Review | Approved sources and cited passages; a conflict between sources is shown, not resolved silently |
| P10 | Inspect Retrieved Instructions | Content in a document is data, not authority |
What it is built on
Four parts of the framework corpus decide what the desk may say, and each leaves a record the client keeps.
| Framework | In this solution | Client keeps |
|---|---|---|
| AI Data Governance Framework™ | Every document classified, sourced and versioned; retired documents leave the corpus on the day they retire | Source register with lineage |
| PEVG | The generator answers only from passages the verifier passed, cites the section, and refuses when the source is missing | Refusal and unanswered-question log |
| Governed Routing Policy (IP-1) and Tiered Model Pool (IP-2) | Questions touching restricted documents go only to the permitted model class | Routing evidence per question |
| Structure-Only Trajectory Logging (AP-3) | Logs keep the structure of each answer, not employees' personal details | Trajectory record |
Five parts apply to every build and are not repeated here: decision rights, the five gate records, a BOE Declaration per control, a vendor assessment for every vendor, and incident response. How we build sets out all of them.
The evidence it leaves behind
Every answer leaves records the client keeps.
- An unanswered-question log
- The source version behind each answer
- A source register with lineage
- A refusal log
- Routing evidence for each question
- A trajectory record
- The five gate records and a BOE Declaration per control, as for every build
Typical buyer
The typical buyer is an HR, IT or operations team.
Status
Proposed, as of 9 October 2026. A solution becomes Piloting or Released only after a documented pilot, and no result is shown for it before then.
How to start
Most organisations start with the Automation Assessment. When the questions and the documents are already known, a six-week Pilot runs the desk for one team, with the baseline measured first.
Where to go next
Compliance and procurement
Compliance and procurement leads: run the AVRF vendor questionnaire yourself for free, run it with iSystematic, or govern the AI programme through readiness.
